Alabama Educators: How to Use Course Catalog Overrides for Ed Plans

In Alabama, Education Plan courses come directly from the state file (ALSDE/PowerSchool)—no CSV uploads required. This guide explains how to adjust course details, hide or add courses, and restore the original state data.

What are Course Catalog Overrides?

The list of courses students see when creating their Ed Plan is provided by the state for your district and school — you don't build or upload it. When a course's details don't match what your school offers, an administrator can override them: adjust the grade range, add a credit type, or hide the course entirely. You can also add a course your school teaches that isn't in the state file yet.

Important: Once you override a course, its data will no longer be updated by future state data updates — your override stays in place until you remove it. You can revert any course to the original state data at any time.

Where do I Find the Course Catalog?

  1. From the left-hand menu in your admin experience, select Configure Student Plans.

  2. Select Course Catalog Overrides.

  3. Choose your District and School from the dropdowns. The course list loads for the school you select.

Access Note: Only District Administrators and Local Administrators can configure Course Catalog Overrides.

Reading the Course List

Each row is one course from the state file. Use Search (by course #, title, or subject) or Filters to find courses. The columns are:

Column

What it Shows & Does

Course #

The state course code. Searchable.

Title

The course name students see, with its grade and credit value. Searchable.

Subject

The subject the course falls under.

Min/Max Grade

The grade range the course is offered in. Click the value to override it.

Credit types

The credit type(s) the course counts toward. Click the value to add types. Types from the state file can't be removed, but you can add others.

Availability

Whether students can select this course. Click the eye icon to toggle it between available and unavailable.

Data source

Where the course's current data comes from — the state file (PowerSchool) or a school override. Click the undo icon on an overridden row to remove all overrides and restore the state data.


How to Override a Course

You can change three things about any state course: its grade range, its credit types, and whether it's available to students. Each change is saved on its own and marks the course as an Override in the Data source column.

Edit the Grade Range

  1. In the Min/Max Grade column, click the course's grade range.

  2. In the Edit grade range window, set the Min grade and Max grade.

  3. Click Save. The course now shows only in the grade columns within that range on the student's plan.

Edit Credit Types

  1. In the Credit types column, click the course's credit types.

  2. In the Edit credit types window, check any additional types to add them. Types labeled (PowerSchool) come from the state file and can't be removed; types you add can be unchecked later.

  3. Click Save.

Show or Hide a Course

In the Availability column, click the eye icon to toggle a course between available and unavailable. Hide a course when your school doesn't actually offer it — hidden courses don't appear as options when students build their plan.


How to Add a Course that Isn't in the State File

If your school teaches a course that hasn't come through in the state file yet, you can add it — but only if it's an approved course at the state level. Searching the ALSDE course catalog is how the system verifies this: you can add a course only when the search finds a valid, state-approved ALSDE record for it.

  1. Click Add Course.

  2. Search the ALSDE course catalog by Course Name or Course Code, then click Search. (Don't know the exact name or code? Look it up at courses.alsde.edu/courses/active.)

  3. If the search returns a valid, state-approved match, review the course's official ALSDE record, then adjust the grade range or credit types as needed for your school.

  4. Click Add Course.

Note: Only state-approved courses can be added. If a course isn't found in the ALSDE catalog, it isn't approved at the state level and can't be added here. Added courses are visible to students by default, and you can delete an added course at any time from the Data source column.


How to Revert a Course to the State Data

A course marked Override in the Data source column is using your school's changes instead of the state file. To undo all of your changes for that course:

  1. Click the undo icon next to Override in the Data source column.

  2. In the Remove all Navigator overrides? window, review the comparison — Current (override) vs. After removal — for grade range, availability, and credit types.

  3. Click Remove override record. The course returns to the state data and will again receive future state updates.


How to Add Resource Links for Students

Use Configure Resources to give students links they can open while completing their Education Plan — for example, specific instructions, graduation requirements, or a planning worksheet.

  1. Click Configure Resources.

  2. Click Add link and enter the resource. Repeat for each link you want to share.

  3. Click Close when you're done.


How to Preview the Student's Education Plan

Click Preview education plan to see how your visibility and override settings look to students before they build their plan.

  • The preview simulates the student view, laid out by subject and grade (Grade 9–12), with a Total credits column.

  • Filter by grade using the All grades / Grade 9–12 tabs.

  • Click Add course in any cell to preview how a course fits that subject and grade.

  • Click Back to course overrides to return.

Note: Nothing you click in the preview is saved to student plans--it's a simulation only.


FAQ

Can I upload my own course file?

No. In Alabama, course data is provided by the state for every district and school. Instead of uploading, you tailor the catalog with overrides, hidden courses, and added courses.

Will state updates overwrite my changes?

Not for a course you've overridden. Once you override a course, it stops receiving state updates until you remove the override. Courses you haven't touched continue to update from the state file.

How do I undo my changes to a course?

Click the undo icon on the Override row in the Data source column, review the before/after comparison, and choose Remove override record. This restores the grade range, availability, and credit types from the state file.

Why don't students see a course we offer?

Check the Availability column — the course may be set to unavailable. Also confirm its Min/Max Grade range covers the grades your students are planning. If the course isn't in the state file at all, add it with Add Course.
