Massachusetts Educators: Bulk Transcript Upload & Usage Guide

Overview

Bulk Transcript Upload lets a school counselor or admin load a whole set of student transcripts into a shared repository in one pass, instead of attaching one transcript at a time. It works for both Common App and Parchment: once transcripts are in the repository, they become the suggested attachment when a counselor completes a Common App school report or a Parchment request for that student.

The tool is built to be SIS-agnostic (PowerSchool, Aspen, Infinite Campus, and others). It accepts either individual per-student PDFs or one combined “packet” PDF straight out of the SIS, which it can automatically split into individual student files.

Matching runs primarily off the student's SIS/student ID (SASID) found on the transcript, checked against active, enrolled students on the roster (students provisioned via SSO through Clever or ClassLink). Matching by name alone is a fallback and is more likely to produce duplicates, since names aren't unique.

Step-by-Step: Bulk Uploading Transcripts

  • Log into your admin experience from your SSO dashboard or Navigator.admin.kuder.com

  • Go to College Planning in the left-hand menu and select Bulk Transcript Upload. Confirm you're in the correct school account (visible near the top of the page if you support more than one school).

  • Click Upload Transcripts (use Manage Uploads instead if you're only reviewing transcripts already in the system).

  • Next, select the transcript type you are working with: choose Initial, Mid-Year, or Final.

  • Then, select the file(s) needed. You have two options: upload one PDF per student, or upload a single combined “packet” PDF (the kind many SIS platforms export for a whole grade) and let the tool split it.

  • If you uploaded a combined packet PDF, highlight the student ID (SASID) field on the preview, click Split all pages, then preview the split results before confirming.


More on splitting a combined packet PDF:

  • Highlight/draw a box around the student ID (SASID) field on the document preview. This tells the system exactly where to look on every page, which keeps matching fast and reliable, it isn't scanning the whole document.

  • Click Split all pages. The tool detects how many pages belong to each student (transcripts can be 1, 2, 3+ pages, they don't all need to match) and groups them accordingly. If a student appears more than once in the file, it will be flagged as a duplicate at this stage.

  • Preview the split results to spot-check that pages grouped correctly. You can download a zip of the split files, cancel and choose a different PDF, or confirm to continue.

  • Once files are added to the batch, click Find Student Matches. This button stays visible (sticky) as you scroll, so it's always available.

  • Review each match using Preview, Assign, or Exclude (details below). You cannot proceed until every “needs review” item has been assigned or excluded.

More on reviewing matches:

  • Preview a file to confirm the name and SASID on the transcript match the student record.

  • Assign a file if it's flagged as needing review (for example, a possible duplicate) and pick the correct student, using date of birth or SASID to tell apart students with similar names.

  • Exclude a file from the batch if it doesn't belong or you can't resolve the match.

  • Click Approve and Upload to load the confirmed transcripts into the repository.

Reviewing Uploads on the Manage Uploads Page

Use Manage Uploads to see who has a transcript on file and who doesn't, and to fix gaps.

  • The page defaults to a 12th grade filter. If a student seems to be missing without explanation, check whether removing that filter reveals them in another grade.

  • The list shows uploads from every admin with bulk-upload access at your school or district — not just the transcripts you personally uploaded.

  • If a student's transcript is missing (their packet didn't include one, or a previous batch only covered part of the roster), you can add a transcript for them manually from this page.

  • Transcript types are tracked separately per student. Uploading a new Initial transcript when one already exists overwrites it; uploading a Mid-Year or Final transcript adds a new file alongside the existing one. By the end of a school year, a student can have up to three files on record: Initial, Mid-Year, and Final.

How it Connects to Common App and Parchment

Once a transcript is in the repository, it surfaces automatically wherever that student's transcript is needed downstream:

  • Common App: while completing the student's school report (Profile and Forms > select student > School Report), the counselor reaches the transcript upload step and clicks Add Transcript. The tool suggests the matching file already sitting in the repository, no need to browse local files. Clicking Confirm attaches it and the counselor finishes and saves the rest of the form.

  • Parchment: the same idea applies under Parchment Requests. Opening a pending request auto-suggests the on-file transcript in the same way.

  • In both places, if the counselor would rather use a different file, they can decline the suggestion and browse to upload their own from their computer instead.

  • Both the Common App and Parchment screens have a Transcript Bulk Upload button in the top right that jumps straight back into the bulk upload flow, in case more transcripts need to be added.

Permissions and Data Retention

Because uploaded files contain PII, access to bulk transcript upload isn't granted through a blanket local- or district-admin role. It's controlled by an individual permission attribute turned on per person. Anyone who manages transcripts for any subset of students (e.g., a counselor handling students A–L) needs this permission individually. To request access, please email support@kuder.com.

Note that the system is not a permanent transcript archive, it holds files long enough to serve Common App and Parchment submissions. Files purge automatically:

  • Roughly 3 weeks after the last known related college deadline for that transcript type (Initial, Mid-Year, or Final).

  • End of July each year, when all transcripts for the graduating class are purged outright, regardless of type.

A student shows up with no transcript — why?

Their transcript may not have been in the uploaded packet; the page may be filtered to 12th graders only (clear the filter to check other grades); or only part of the roster (e.g., students A–C) was uploaded so far.

What file types are accepted?

PDF only. Other file types (e.g., Word docs) are flagged as an incorrect file type and rejected.

Is there a limit on how many students can be uploaded at once?

No limit is currently set. Actual speed depends on local internet bandwidth and how many pages each student's transcript has.

Can transcripts of different lengths be in the same batch?

Yes. Unlike some other systems, this tool handles a mix of 1-, 2-, and 3+-page transcripts in the same upload.

What happens with a duplicate in the batch?

It's automatically flagged. Resolve it by assigning the file to the correct student (using SASID or date of birth to tell similar names apart) or excluding it from the batch.

Can a counselor swap out the suggested transcript on the Common App/Parchment side?

Yes — they can decline the suggested match and browse to upload a different file from their computer instead.
