WBL Administrators: How to Manage Student WBL Opportunity Requests

Learn how to view and manage student Work-Based Learning opportunity requests at your school or district.

How to Review the Status of All Student Requests

There are six statuses that requested opportunities can fall under: Requested, Approved, In Progress, Submitted, Completed and Denied.

  1. In the left-hand navigation menu, select Manage Work Based Learning Tools

  2. Select Student Participation

  3. Review the Status column

  4. Select Manage in the far-right column of the student request to view details

Requested

Student submitted a request to participate. This status is being transitioned out of Navigator.

Choose to 'Deny' participation, move them to 'In Progress', or mark 'Complete' if all requirements have been met.

Approved

Student's initial request to participate was accepted by the admin.

Move the opportunity status to 'In Progress' for students to begin participation.

In Progress

Student is currently participating in the opportunity.

Students are to work through opportunity requirements and submit for review.

Submitted

Student finished all requirements and submitted it to the admin for review.

Check the student's work. If all looks good, mark status as 'Complete'; if not, send back to 'In Progress'.

Completed

Admin confirmed the opportunity requirements have been met by the student.

No further action needed.

Denied

Student's request to participate was denied by the admin.

No further action needed.


How to Use Notifications

When a student requests a work-based learning opportunity, or submits one as complete, you'll see the notification in your top right notification menu.

If you want a daily email recapping your notifications, make sure you have enabled the "Daily Digest" email under your settings icon.


How to Approve Student Participation Requests

After a student requests to participate in a work-based learning opportunity a WBL Advisor must approve or deny the request.

  1. In the left-hand navigation menu, select Manage Work Based Learning Tools

  2. Select Student Participation

  3. Search for a student or filter by the Requested status to see all initial requests

  4. Select Manage in the far-right column of the student request

  5. Review opportunity and student details to determine suitability

  6. Select Update Status

  7. Complete additional dialogues that appear when new status is selected

  8. Select Update

Note: Once a request has been approved, it can be denied by following steps 1-6 and then selecting Deny Request. Once an opportunity has been denied it can no longer be changed to approved.

Note: Once a student's request has been marked as "Approved" the number of open spots for this opportunity will be updated.


How to View Time Tracked to a WBL Opportunity

  1. In the left-hand navigation menu, select Manage Work Based Learning Tools

  2. Select Student Participation

  3. Search for a student or filter by the In Progress status

  4. Select Manage in the far-right column of the student request

  5. Select the Time Entries Tab

  6. All time entries are shown with a total located at the top of the entries

  7. Select File next to an entry to open the attached document


How to Mark a Submitted Opportunity as Complete

Once a student completes all required activities and submits the opportunity for final approval the WBL Advisor can mark the opportunity as complete or send the opportunity back to the student to fix mistakes or add any missing information.

  1. In the left-hand navigation menu, select Manage Work Based Learning Tools

  2. Select Student Participation

  3. Search for a student or filter by the Submitted status

  4. Select Manage in the far-right column of the student request

  5. Review the activity requirements by selecting the Requirements tab

  6. Download documents attached to activities to review completeness

  7. Review the time completed by selecting the Time Entries tab

  8. Download documents attached to entries to review completeness

  9. Select Update Status

  10. Select In Progress to send it back to the student for review or select Completed if the student has completed all requirements to your satisfaction.

  11. Complete any additional dialogues that appear when a new status has been selected.

  12. Select Update
