Educators: How to Use the College Planning Reports

Learn how to use the reports that are available to educators utilizing Navigator to track college applications.

Common App Status Report

This downloadable report provides details on materials submitted to support Common App, including student applications and transcript and other forms submitted on behalf of the school or district.

  1. Select College Planning on the left-hand menu

  2. Select the Common App Status Report from the drop-down

  3. Sort the requests by the School drop-down

  4. Search for the Student Name using the Magnifying Glass icon

  5. The report shows one row per college the student selected in their Common App account

  6. Provided information on each application

    1. College Applied - Name of school selected by the student

      1. College can be clicked on to navigate to the students common app forms

    2. Admission Type - The type of admission selected by the student

      1. Early Decision

      2. Early Action

      3. Regular Decision

      4. Restrictive Early Action

      5. Rolling Admission

      6. Early Admission (Juniors Only)

      7. Early Decision II

      8. Early Action II

    3. Term - College Term the student expects to begin

    4. Deadline - Deadline of the School Report, Counselor Recommendation and Teacher Evaluations

    5. Transcript Sent - Date CommonApp Received the Initial or Mid-Year Transcript

    6. Final Transcript Sent- Date CommonApp Received the Final Transcript

    7. ACT Sent - Completed by the Student in their initial application on Common App

      1. Not Required

      2. No

      3. Yes

    8. SAT Sent - Completed by the Student in their initial application on Common App

      1. Not Required

      2. No

    9. School Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

    10. Counselor Name - The counselor selected by the student in their Navigator account

    11. Teacher Evaluations - The completed teacher recommendations out of the selected teacher recommendations made by the student in their Navigator Account

    12. Optional Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Blank - School does not require this form

    13. Mid Year Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

      3. Blank - School does not require this form

    14. Final Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

      3. Blank - School does not require this form

    15. Fee Waiver

      1. Blue Check Mark - Approved by the Counselor

      2. Open Grey Circle - Student Selected need for fee waiver, awaiting admin approval

      3. Blank - Student denied need of the Fee Waiver

    16. Application Status

      1. In Progress

      2. Complete

  7. Select the Download Icon next to the Filter button to download a CSV of the report


Direct Application Status Report

This downloadable report provides details on materials submitted to support direct (non-Common App) student applications, including materials – transcripts, letters of recommendation, test scores, etc - sent via Parchment, and those manually entered.

  1. Select College Planning on the left-hand menu

  2. Select the Direct Application Status Report from the drop-down

  3. Sort the requests by the School drop-down

  4. Search for the Student Name using the Magnifying Glass icon

  5. The report shows one row per college the student has applied

  6. Provided information on each application

    1. College Applied - Name of school selected by the student

    2. Admission Type - The type of admission selected by the student

      1. Early Decision

      2. Early Action

      3. Regular Decision

      4. Restrictive Early Action

      5. Rolling Admission

      6. Early Admission (Juniors Only)

      7. Early Decision II

      8. Early Action II

    3. Deadline - Deadline of required application materials reported by student

    4. Transcript Sent

      1. Blank - Has not been reported as sent by the student

      2. Date - Date student reported that transcript was sent

    5. Letters of Recommendation - Reported number of recommendations required

      1. Blue Check Mark - Student reported recommendations have been sent

      2. Open Grey Circle - Student has not reported recommendations have been sent

    7. ACT Sent - Completed by the Student in their initial application on Common App

End of Year Decision Report

This downloadable report provides an overview of all student applications submitted along with final attendance decisions.

  1. Select College Planning on the left-hand menu

  2. Select the End of Year Decision Report from the drop-down

  3. Sort the requests by the School drop-down

  4. Search for the Student Name using the Magnifying Glass icon

  5. The report shows one row per college the student has applied

  6. Provided information on each application

    1. College Applied - Name of school selected by the student

    2. Application Type

      1. Direct

      2. CommonApp

    3. Decision

      1. Undecided

      2. Attending

      3. Not Attending

  7. Select the Download Icon next to the Filter button to download a CSV of the report


External Assessment Report

This downloadable report shows the status of self-reported ACT, SAT, and PSAT scores for students.

  1. Select College Planning on the left-hand menu

  2. Select the External Assessment Report from the drop-down

  3. Filter the results

    1. Sort the requests by the School drop-down

    2. Soft the requests by selection a Group

    3. Search for the Student Name using the Magnifying Glass icon

    4. Filter by Graduation Year or External Assessment completed

  4. Select the Students Name to view the student details regarding all External Assessment Scores a student has reported

  5. Select the Download Icon next to the Filter button to download a CSV of the report


Plans After High School Report

This downloadable report provides the self-reported plans after high school of all post-secondary students currently enrolled. Formerly known as 'Options After High School.'

  1. Select College Planning on the left-hand menu

  2. Select the Plans After High School report from the drop-down

  3. Filter the results

    1. Sort the requests by the School drop-down

    2. Soft the requests by selection a Group

    3. Search for the Student Name using the Magnifying Glass icon

    4. Filter by Graduation Year or Plan After High School option selected

    5. Use the interactive graph to select a Plan After High School option

  4. Select the Students Name to view the student details regarding the students selected Plan After High School and College Match results

  5. Select the Download Icon next to the Filter button to download a CSV of the report
