Educators: How to Use the College Planning Reports

Learn how to use the reports that are available to educators utilizing Navigator to track college applications and postsecondary plans.

Common App Status Report

This downloadable report provides details on materials submitted to support Common App, including student applications and transcript and other forms submitted on behalf of the school or district.

  1. Select College Planning on the left-hand menu

  2. Select the Common App Status Report from the drop-down

  3. You may filter the results:

    1. Sort the requests by the Schools drop-down

    2. Sort the requests but the Groups drop-down

    3. Search for the Student Name using the Magnifying Glass icon

  4. The report shows one row per college the student selected in their Common App account

  5. Review the provided information on each application

    1. First Name

    2. Last Name

    3. Student ID

    4. Organization

    5. Graduation Year

    6. College Applied - Name of school selected by the student

      1. College can be clicked on to navigate to the students common app forms

    7. Admission Type - The type of admission selected by the student (Application Type Definitions)

      1. Early Decision

      2. Early Action

      3. Regular Decision

      4. Restrictive Early Action

      5. Rolling Admission

      6. Early Admission (Juniors Only)

      7. Early Decision II

      8. Early Action II

    8. Term - College Term the student expects to begin

    9. Deadline - Deadline of the School Report, Counselor Recommendation and Teacher Evaluations

    10. Transcript Sent - Manual Date Entered by Student

    11. Final Transcript Sent- Manual Date Entered by Student

    12. ACT Sent - Manual Information Entered by Student

      1. Not Required

      2. No

      3. Yes

    13. SAT Sent - Manual Information Entered by Student

      1. Not Required

      2. No

    14. School Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

    15. Counselor Name - The counselor selected by the student in their Navigator account

    16. Counselor Recommendation

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

    17. Teacher Evaluations - The completed teacher recommendations out of the selected teacher recommendations made by the student in their Navigator Account

    18. Optional Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Blank - School does not require this form

    19. Mid Year Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

      3. Blank - School does not require this form

    20. Final Report

      1. Blue Check Mark - Form has been completed by the Counselor

      2. Open Grey Circle - Form has not been completed by the counselor

      3. Blank - School does not require this form

    21. Application Status - This is the status for the full common app application, not just the Student Application they complete for each college in their Common App account.

      1. In Progress

      2. Complete - Needs Final Report (All forms for the student have been completed, including the Final Report. Final Report must be sent per college on the Common App Profile and Forms for the chosen counselor. Learn about the final report here.)

      3. Complete

  6. Select the Download Icon next to the Filter button to download a CSV of the report

Direct Application Status Report

This downloadable report provides details on materials submitted to support direct (non-Common App) student applications, including materials – transcripts, letters of recommendation, test scores, etc - sent via Parchment, and those manually entered.

  1. Select College Planning on the left-hand menu

  2. Select the Direct Application Status Report from the drop-down

  3. Filter results with the following:

    1. Sort the requests by the Schools drop-down

    2. Sort the requests but the Groups drop-down

    3. Search for the Student Name using the Magnifying Glass icon

  4. The report shows one row per college the student has applied

  5. Review the provided information on each application:

    1. First Name

    2. Last Name

    3. Student ID

    4. Organization

    5. Graduation Year

    6. College Applied - Name of school selected by the student

    7. Admission Type - The type of admission selected by the student (Application Type Definitions)

      1. Early Decision

      2. Early Action

      3. Regular Decision

      4. Restrictive Early Action

      5. Rolling Admission

      6. Early Admission (Juniors Only)

    8. Deadline - Deadline of required application materials reported by student

      2. Date - Date student reported that transcript was sent

    10. Letters of Recommendation - Reported number of recommendations required

      1. Blue Check Mark - Student reported recommendations have been sent

      2. Open Grey Circle - Student has not reported recommendations have been sent

    12. ACT Sent - Completed by the Student in their initial application on Common App

      1. Not Required

      3. Yes

    13. SAT Sent - Completed by the Student in their initial application on Common App

      1. Not Required

End of Year Decision Report

This downloadable report provides an overview of all student applications submitted along with final attendance decisions.

  1. Select College Planning on the left-hand menu

  2. Select the End of Year Decision Report from the drop-down

  3. You may filter the results:

    1. Sort the requests by the Schools drop-down

    2. Sort the requests but the Groups drop-down

    3. Search for the Student Name using the Magnifying Glass icon

  4. The report shows one row per college the student has applied

  5. Provided information on each application

    1. First Name

    2. Last Name

    3. Student ID

    4. Organization

    5. Graduation Year

    6. College Applied - Name of school selected by the student

    7. Application Type

      1. Direct

      2. CommonApp

    8. Decision - Manually selected by student or counselor

      1. Undecided

      2. Attending

      3. Not Attending

  6. Select the Download Icon next to the Filter button to download a CSV of the report

External Assessment Report

This downloadable report shows the status of self-reported ACT, SAT, and PSAT scores for students. This downloadable report shows the status of self-reported ACT, SAT, and PSAT scores for students.

  1. Select College Planning on the left-hand menu

  2. Select the External Assessment Report from the drop-down

  3. You may filter the results:

    1. Sort the requests by the Schools drop-down

    2. Sort the requests but the Groups drop-down

    3. Search for the Student Name using the Magnifying Glass icon

  4. Select the Student's Name to view the student details regarding all External Assessment Scores a student has reported

  5. Select the Download Icon next to the Filter button to download a CSV of the report

Plans After High School Report

This downloadable report provides the self-reported plans after high school of all post-secondary students currently enrolled. Formerly known as 'Options After High School.'

  1. Select College Planning on the left-hand menu

  2. Select the Plans After High School report from the drop-down

  3. You may filter the results:

    1. Sort the requests by the Schools drop-down

    2. Sort the requests but the Groups drop-down

    3. Search for the Student Name using the Magnifying Glass icon

  4. Select the Student's Name to view the student details regarding the student's selected Plan After High School and College Match results

  5. Select the Download Icon next to the Filter button to download a CSV of the report
