Educators: How to Import Parent Contacts for Communications

Learn how to use the parent contact list import to make parent emails available for mass communications within Navigator for Admins.

What are Parent Contacts?

Parent contacts are those parents and guardians that are authorized in your district to receive communication about their student(s). Although a parent's email must be unique, a parent contact may be associated to multiple students in a district. Once imported, parent contact information can be used within Navigator for Administrators to send parent communications via email.


How to Import Parent Contacts

  1. Select Organize Students & Groups in the left-hand menu

  2. Select Student List from the drop-down

  3. Select Import Parents

  4. Open the CSV Template

    1. Complete the required fields using Option 1 or Option 2

      1. studentNumber (Typically the Student Number or State ID from your SIS)

      2. parentFirstName (First Name of the Parent - Max 50 characters)

      3. parentLastName (Last Name of the Parent - Max 50 characters)

      4. (Optional) cellPhone (Required to be 10 digits)

      5. email (Parent Email Address - Max 255 characters)

    2. Option 1: Export Student Parents from your SIS

      1. Ask your IT staff to export the parent list from your SIS including the student number that is associated with the parent

      2. Please reach out to our team for any assistance with collecting the correct data from your team

    3. Option 2: Download the Student list with Student Numbers to manually enter parent information or match parents to their student

      1. Select Organize Students & Groups in the left-hand menu

      2. Select Student List from the drop-down

      3. Select the school(s) to filter to needed students

      4. Select the download button next to filter

      5. Copy over student ID and enter/match parents to students

  5. Save file as a CSV (Comma Delimited)

  6. Select the file for Upload or Drag and Drop

  7. Select Submit

  8. After Submitting:

    1. If Email Format is Successfully Validated: A message will appear "Parent email upload in progress! We are verifying each parent email and will notify you via email if there are any issues."

    2. If Email Format Validation Fails: A Message will appear "There were issues with the CSV file you tried to upload. Fix the following and re-upload your CSV file."


How to View Parent Contact(s) Associated with a Student

  1. Select Organize Students & Groups in the left-hand menu

  2. Select Student List from the drop-down

  3. Click on the number (>0) in the parent column next to a student to view parent contact(s)


FAQs

My district does not share a student ID from my Clever or ClassLink to Navigator. Can my district use this feature?

This feature requires a student ID for the parent contact to be imported into the system.

Can I upload parent contacts incrementally or do I need to import them all at the same time?

Parents can be imported incrementally or all at the same time. The duplicates will be ignored by the system.

How do I know if there are errors on my import?

Errors will be shown on the page before import or returned in a csv file containing the error and the reason for the error.
